AiFes is the school management platform; it is operated by Alodi Robotics and used by multiple schools to facilitate communication and information sharing between students, parents/guardians, teachers, and school administrators.

This Privacy Policy applies to the AiFes App (a mobile application for teachers and administrators) and explains how we collect, use, share, retain, and protect personal data.

For purposes of India’s Digital Personal Data Protection Act, 2023 (DPDP Act), personal data may be processed by Alodi Robotics (as operator of AiFes) and/or the participating school depending on how the Services are deployed and administered. Student and user accounts are typically created and managed through the participating school (or its authorized representatives). If you have questions or requests relating to your personal data, you may contact us using the details in the Contact / Grievance section, and we may coordinate with the relevant school where required.

Collected for improving performance and user experience.

Information provided by the school (or authorized users). The participating school (or its authorized representatives) may provide and manage student, parent/guardian, teacher, administrator, and class-related records in the Services for educational, administrative, and communication purposes.

Information you provide. When you use the Services, you may provide information through your account and interactions (for example, when updating profile details or using in-app features available to your role).

How We Use the Information

The collected information may be used for the following purposes:

  • To provide access to the school management system
  • To manage student, parent, teacher, and admin accounts
  • To send notifications related to school activities
  • To improve application performance and reliability
  • To maintain security and prevent unauthorized access

Legal basis / purpose limitation (DPDP). We process personal data only for purposes that are clear, lawful, and necessary to operate the Services—such as providing access, enabling school communications, administering accounts, maintaining security, and improving reliability. Where required, we process personal data based on consent and allow consent to be withdrawn (see “Your Rights and Choices”). In many cases, processing is performed to provide school management services as configured by the participating school and as permitted under applicable law.

Section 3
Data Sharing

We do not sell, trade, or rent users' personal information to third parties.

User data may only be shared with:

  • Authorized school administrators
  • School staff responsible for managing the system
  • Amazon Web Services (AWS) for cloud hosting in India, who process data only to provide services to us and under appropriate confidentiality and security obligations

Storage location. Personal data for the Services is stored and processed using AWS infrastructure located in India only. We do not intentionally transfer personal data outside India for the Services described in this policy.

All data sharing is strictly limited to educational and administrative purposes.
Section 4
Data Security

We implement reasonable technical and organizational measures to protect user information from unauthorized access, alteration, disclosure, or destruction.

Security incidents. If we become aware of a security incident affecting personal data, we take steps to investigate, mitigate, and comply with any notification obligations under applicable law and/or our contractual commitments with schools.

No method of electronic storage or transmission over the internet is completely secure.
Section 5
Children's Privacy

The Services are intended for use by students, parents/guardians, teachers, and administrators associated with a participating school.

Student accounts and student personal data are generally provided and managed by the relevant school administration (or its authorized representatives) and are used only for educational, administrative, and communication purposes within the Services.

We do not knowingly collect personal data directly from children other than data made available through, and authorized by, the participating school and/or the child’s parent/guardian as applicable. If you believe a child’s personal data has been provided to us improperly, please contact us using the details in the Contact / Grievance section so we can take appropriate action.

We do not use student or children’s personal data for advertising, behavioural targeting, or marketing.

Section 6
Data Retention

User information is retained only for as long as necessary to provide the Services to the participating school, maintain accounts, and comply with legal and contractual obligations. When personal data is no longer needed for these purposes, we take steps to delete or anonymize it, unless retention is required by law or for legitimate dispute/security purposes.

Deletion or anonymization of data held in connection with a school (including in response to a user request) is carried out only after approval from the participating school, except where applicable law requires us to act without such approval.

Section 7
Your Rights and Choices (DPDP)

Subject to applicable law and your relationship with the participating school, you may have the right to request information about the personal data we process about you, request correction or updating of inaccurate or incomplete personal data, request erasure of personal data that is no longer necessary for the stated purpose (where applicable), withdraw consent where we rely on consent for processing, raise a grievance, and nominate another person to exercise your rights in accordance with applicable law.

Erasure and account data. Where erasure or deletion is requested, we will action it only after approval from the participating school, except where applicable law requires otherwise.

How to make a request. To exercise these rights, contact us at info@aifesconnect.com. For certain requests, we may need to verify your identity and/or coordinate with the participating school administrator to process the request appropriately.

Changes to This Privacy Policy

We may update this Privacy Policy from time to time. Any changes will be posted on this page with an updated effective date.

Users are encouraged to review this policy periodically.

If you are not satisfied with our response to a grievance, you may have the right to escalate the matter to the Data Protection Board of India, as provided under applicable law.
